Contract Administrator

Our client is a well known agricultural supply firm with operations headquartered in Bakersfield. This is a small family orientated environment that is growing rapidly. This position is open due to internal advancement. 



Duties for the position may include:

  • Input and/or maintain contact information in dropbox and database; work with internal personnel  (mostly through email) to get complete and accurate information for each contract
  • Prepare and/or finalize contracts with contact and planting information, checking for accuracy and completeness in the variable information; coordinate signing by company officer via Adobe Sign
  • Prepare email correspondence to Managers to transmit documents and/or respond to questions
  • Prepare, assemble and maintain physical files
  • Track status of unsigned contracts and follow-up with Managers as needed
  • When signed copies are received, scan and file copies in client files and upload to database
  • Prepare and deliver to clients with signed contract a letter of instructions regarding procedures going forward
  • Assist in updating and/or finalizing contract Schedules for signatures after audit of plantings (in some cases, this may be done as often as annually for those existing clients who regularly expand their contracts); transmit the amended Schedule(s) to client to sign, and follow-up the return of the signed Schedule(s)
  • Scan and file executed Schedule(s)
  • Monitor database for expiring contracts 
  • Assist in maintaining and/or updating master contracts to incorporate changes required from time to time

Exercise Notices and Authorizations

  • Upon receipt of Exercise Notice from Licensee or Commercial Manager, check details, verify items requested; obtain missing information or documents, when needed
  • Get approval signature, scan and file Exercise Notice (electronic & paper file) and upload to database
  • May assist in preparing authorization(s), if needed; transmit instructions to contracts with approved Exercise Notice (and authorization(s), if needed); track return of confirmations when required
